Some Definitions
EndNote is a database application, specialised for handling bibliographic references. Like most database applications, EndNote saves every change as you make it, so:
- You cant lose work because you "forgot to save"
- Warning: nor can you revert to the last saved version.
EndNotes files are called Libraries
Each Library can contain up to about 32000 References (aka records)
Each Reference is made contains up to 30 Fields: e.g. Author, Year, Title etc
Field contents vary e.g. Volume Number c.f. Abstract
The name and selection of fields varies depending on the reference Type e.g. the Author field is called "Reporter" for newspaper articles and "Cartographer" for maps; the "Volume" field is used for journals and books but absent for theses and computer programmes.
New References
To manually enter a new reference
- From the File menu, open a library file or create a new one
- From the References menu create a new reference
- Select the reference type
- Enter details in the appropriate fields
- Close the reference window
References can also be collected from databases, as will be demonstrated in the next lecture
Styles
Fields are combined and formatted to make citations and bibliography entries as defined by Styles.
A huge number of predefined styles are available.
These can also be modified to give detailed formatting and conditional options (e.g. how many authors names to include before switching to "et al"; what to do if a certain field is empty).
Select reference(s) and choose Copy Formatted from the Edit menu to see the result of a particular style on a reference, or to paste in the odd bibliography entry.
Integrating with Word
EndNotes Add-in module adds a number of EndNote commands to Words Tools menu, but EndNote can function quite well without these or with other word processors.
- To insert citations to the relevant places in your text
- Go to EndNote from the Tools menu
- Select your reference(s),
- Insert Citations
from the Add-in menu
- This will insert cryptic references to your references eg [Alvarez, 1984 #8]
- Save your paper in this format (so you can apply different styles later)
- In EndNote, use the Style menu to select the style you want to use
- Format Bibliography from the Tools menu
- Check your choice of style
- Click Format
- EndNote will convert the citations in your paper to the chosen format and add a fully formatted bibliography
- Save your "formatted" paper with a different name from your "unformatted" paper.
Some features you might like to check out later:
Import, filters and direct connections: generate libraries without typing and without making typos!
Term lists: eg handle abbreviations of journals
Edit styles
Searching and sorting options
Your turn
There is no formal lab or tutorial for EndNote, but you might like to try the following exercises, preferably in a small group:
- Create a Library
- Run EndNote
- Make a New Library named "Cat in the Hat" in the "Documents" folder
- Add two new references each (e.g. invent details of Childrens books)
- Create a Word Document
- Run Word
- Type a sentence or two each
- Insert citations try out different methods
- Select a style
- Format your document
- Unformat your document and change styles
EndNote at home?
The ANUs site license of EndNote allows students and staff to use the program at home for ANU related work. You may download a copy to take home as follows. Please note however that if you leave the ANU you are no longer entitled to use the software and must delete it or obtain a commercial copy of this software from the supplier, contact http://www.niles.com.
Manuals and Further info:
The EndNote 3 Manual "EndNote Bibliographies made easy" (call # Z1001.A2E532 1998) is available from Menzies, Chifley & Hancock Libraries (ordinary loan) see the ANU file server sites below for an electronic copy.
The Niles Website http://www.niles.com is very informative and includes instructions for joining a lively discussion list.

Download Instructions
Macintosh
Go to the Apple menu and select the Chooser
Click AppleShare
AppleTalk Zone: ITS Servers
Server: Software Archive
Log in as a Guest
Volume: Software
Path: Database/EndNote/EndNote3
Copy the contents of the disk 1 and 2 folders to 1.4 MB disks, giving the disks the same names as the folders
The manual is also available, but is too large for one disk read it in the lab.
At home, use the installer on disk 1 to put everything in the right place.
Windows
Use the Map Network Volume command to connect to the share: \\software.anu.edu.au\public
Username and password not required
Path: \endnote.win\disks
Copy the contents of each of the 6 disk folders to a 1.4 MB floppy (this includes the manual).
Use Setup.exe from disk 1 to install the software at home.
